Renewal forecast is an add-on: $99 per month on any paid GainTrace plan, billed with your plan. Enterprise includes it. Self-serve trials don’t include it.
How the forecast works
A Forecast period is one fiscal quarter. Your fiscal year comes from Settings > Analytics > Fiscal year starts in. A company enters a period when its renewal date falls inside that quarter. Companies with no renewal date, and hidden companies, don’t appear. A renewal with no ARR, or with no exchange rate into your reporting currency, still shows up in the list and its count. It’s left out of the totals rather than guessed. A Call has five parts: a category, the amount you expect to keep, a reason, a Next step, and the Next step’s date. When the amount differs from the company’s current ARR, the Call also records why, such as fewer seats, a discount, or a price increase.
Some renewals count as Contracted without a Call. That happens when every contract for the company auto-renews and its notice deadline has passed with no notice of non-renewal. GainTrace reads this from the contract terms recorded on the company, never from a billing default. A renewal stops counting as Contracted if anyone calls it At risk or Lost, or once its Outcome is recorded.
The range
The forecast adds the Calls up into three points:
At risk renewals show as Exposure and Lost renewals as Lost. Neither enters the range.
Call coverage is the share of renewing ARR that has a Call. Uncalled ARR is never counted as retained. Gross renewal rate and Net renewal rate are measured over called renewals only. Forecast leaders can set goals for both with Set goals.
Who makes the Calls
- Trace AI drafts the first Call. Once a renewal in the current or next quarter is within 90 days of its decision date (or its renewal date, when no notice terms are recorded), Trace AI writes an initial Call from the company’s recent conversations, open risks, and renewal deals. It needs an assigned Caller, positive ARR, and at least one of those sources, and Trace AI must be on for your workspace. If the evidence isn’t enough, it leaves the renewal uncalled and explains why on the Renewal tab. It skips Contracted renewals and renewals with a recorded Outcome. Until a person saves it, Trace AI updates its Call when the evidence changes. It never replaces a Call a person saved or a Final call.
- The Caller reviews it. A company’s Caller owns its Call. By default that’s the company’s primary CSM, and a company with no CSM has no Caller until a leader assigns one. On the company’s Renewal tab, a forecast leader can set a different Caller for this company or change the Workspace Caller role. With any role other than CSM, each company needs an assigned Caller; until then Trace AI doesn’t draft its Call and it isn’t in anyone’s Calls due. The Renewal tab is also where Calls are edited, next to the evidence behind them.
- A forecast leader can set a Final call. A Final call replaces the Caller’s Call in every total, and the Caller’s Call stays visible beside it.
Review and publish
1
Review the quarter
Open Boards > Renewal forecast. Check the range and the renewals table, and open any company to update its Call on the Renewal tab.
2
Choose who receives it
Use Forecast audience to add the people who should get the forecast. They can include people without a GainTrace seat, and adding them doesn’t create a seat.
3
Publish
Choose Publish for the period, review the drafted note, and edit it if you like. The note is written from what changed since the last publish, without a model call.
Snapshots and accuracy
GainTrace captures one Snapshot of the forecast every week automatically. Under Snapshots, a leader can pick a Snapshot day or choose Take Snapshot before a review. The renewals table can then show what changed since the last Snapshot. To grade accuracy, GainTrace also locks each renewal’s Call 90, 60, and 30 days before its decision date (or its renewal date, when no decision date is known). After the renewal, it records the Outcome from a CRM deal typed or linked as the renewal, or from your connected billing source. Once a quarter closes, its Report card compares the locked Calls with what actually renewed.Sync Calls with your CRM
You can sync Calls with HubSpot, Salesforce, or Close. It’s off by default. A forecast leader turns it on from the connection’s page in Integrations, under Renewal Call sync, and maps each Call field to a field on the renewal opportunity. Each company’s renewal opportunity is linked explicitly. By default the latest edit wins, and you can choose GainTrace wins or CRM wins per field. Final calls are never replaced from the CRM.Who can do what
You can grant or remove Lead the forecast with a custom role.
Add the Renewal forecast
The workspace owner adds it in Settings > Billing. On a paid plan, find it under Add-ons and choose Add to plan. On Free, choose a plan and turn it on in the Extras step. It bills at your plan’s cadence: 267 a quarter, or $990 a year. Other members see Ask [owner] to add it on the forecast page, which notifies the owner.Good to know
- A company is missing from the quarter. Check that it has a renewal date inside the period, and that it isn’t hidden.
- The totals don’t include a company in the list. It’s missing ARR or an exchange rate. The count beside the totals shows how many.
- Health is context, not a probability. Health appears next to a Call as evidence, and Trace AI doesn’t use it to draft Calls.
- Added the add-on during a trial? It unlocks with your first paid month.
- Removed the add-on? Your Calls, Snapshots, and published forecasts are kept, and the forecast reopens if you add it back. While it’s off, no Snapshots, locked Calls, Outcomes, or CRM Call sync run. Locked Calls missed in that time come from the last Snapshot before them, or are marked missing.
