Email invitations
1
Choose recipients
On the Email channel, search for people and select them. Only active people with an email address appear, and you can request up to 100 at a time. To invite a saved segment or a set of Company and People rules, switch Invitation audience to Segment or rules. See Choose who gets a survey. Archived people are never invited.
2
Review the list
Check each name, email and Company, then continue.
3
Send, or send for approval
The button reads Send N invitations when your workspace sends invitations as soon as they are requested, and Request N invitations when it holds them for approval. See Invitation review.
Invitation review
Your workspace decides what happens to an invitation after you request it. Owners and admins set this in Settings > Surveys, or with Sending and identity at the top of the Surveys page, under Invitation review:
Invitations that Trace AI or an MCP agent requests always wait for approval, whichever setting you choose, and an agent can’t approve them. Invitations from Flows follow their own setting, Invitations from Flows, which holds them for approval unless an admin chooses Send when the Flow runs. In every setting, the survey’s cooldown, your frequency rule, unsubscribes, email limits and send windows apply. A person in two surveys at once gets at most one invitation, because the frequency rule is checked for each person at the moment an invitation is released.
Invitations from Flows
Owners and admins also choose what happens to invitations from a Flow’s Send Survey step, in Settings > Surveys > Sending and identity, under Invitations from Flows:
Sampling, cooldowns, your frequency rule, unsubscribes, email limits and send windows apply in both settings. Every change is recorded in the audit log.
Review invitations in Triage
Invitations that are requested together form one thread in Triage: one Distribute request, one API call, or one segment or rules audience of up to 1,000 people. When Flow invitations are held for approval, a Flow makes one thread for each run and approver, and an event-triggered Flow makes one for each day and approver. A thread counts once in Needs you, in the Triage badge and on Home. A thread shows:- The survey, linked, with its measure, who asked for the invitations and from where, the approver, and when the thread auto-declines. An invitation that nobody approves is declined after 14 days.
- The invitation email as it will send, with its subject, greeting, first question and answer scale, in your workspace brand kit.
- The survey’s cooldown and your workspace frequency rule.
- Each person, linked to their Feedback tab, with their Company and a status: Clear to send, or Won’t send because of the survey cooldown, the frequency rule, the do-not-email list, an archived person or a changed email.
- A survey’s Delivery history tab, where Review N waiting in Triage appears while invitations wait.
- The alert after you request invitations, which links to Review invitations in Triage.
- A person’s Feedback tab, where Review in Triage opens the thread with that person highlighted.
- Triage itself, where
?survey=on the address filters to one survey’s pending invitations.
What the customer receives
The invitation carries your workspace’s brand kit, not GainTrace’s. It shows the survey question with each score as a clickable button, plus a plain link for email apps that strip styled links, and a plain-text version for text-only mail. For CSAT and CES on a 1-7 scale, all seven scores are clickable. The score buttons are built to render in every major email app: Outlook for Windows, Mac and the web, Gmail, Apple Mail and the mobile apps. They are table cells with inline colors, no images or web fonts, so they show even when images are blocked, and they shrink to fit a phone screen. In dark mode, apps that recolor email keep the digits readable. Choosing a score in the email opens the survey with that score selected. The score is recorded once the customer taps, clicks, presses a key or turns the mouse wheel on the page, even if they leave before the follow-up questions. Opening the link records nothing, and neither does scrolling, moving the pointer, or anything a script does on the page. Email security tools that open every link in a message (such as Microsoft Safe Links, Mimecast or Proofpoint) load the page without a person, so they don’t record an answer. A tool that simulates real clicks could still record one. Each invitation links to a short personal address that looks likehttps://app.gaintrace.com/s/aB3dE5gH7jK9, and a score button adds the score, as in /s/aB3dE5gH7jK9/10. The address is unique to one person and one invitation. Invitations sent before short links existed keep their longer addresses, and those keep working. When your workspace uses a custom survey domain, the short link uses your domain.
The link is personal and stays valid for 30 days from approval. A response through it is attributed to that person and their Company without asking them to type anything. This works for anonymous surveys too, which then store no identity with the response. Invitations follow your email governance: suppression lists, sending limits and the unsubscribe footer all apply.
Cooldowns and frequency
Two rules stop people from being over-surveyed:- Campaign cooldown. Set per survey in Branding and privacy, from 0 to 730 days. A person who already received, answered or saw a survey that measures the same thing (NPS, CSAT, CES or custom) inside this window is skipped. It applies across surveys, email and in-app. A new survey starts at 90 days.
- Workspace frequency rule. One gap between any two surveys for the same person, set in Survey rules.
Delivery history
The Delivery history tab lists every invitation with its outcome, such as sent, scheduled, retry, suppressed, cooldown or failed, so you can see why someone didn’t get one. A person’s own Feedback tab shows the same outcomes in words, for example Awaiting approval, Scheduled, Retrying: send failed and Skipped: surveyed recently. If sending fails
If the email service is briefly unavailable (it doesn’t respond, returns a server error, or hits a rate or daily sending limit), GainTrace sends the invitation again automatically. It makes 3 attempts in total, the second about 15 minutes and the third about 2 hours after the one before it, and only inside the survey’s send window. While it waits, the invitation shows as a retry. Each attempt checks the person again: the survey must still be active, the person must not be archived, unsubscribed or bounced, and the cooldown and frequency rule must still allow it. A retry reuses the same invitation, so the person can answer only once whichever email they open. If the email service refuses the invitation outright, it fails at once. After 3 failed attempts the invitation shows Failed, and you invite the person again once sending works.Send a test to yourself
On the Email channel, choose Send a test to me. GainTrace emails the real invitation to your own address with “[Test]” in the subject. You can send a test from a draft survey. The page shows a test notice and nothing you answer is saved. Tests skip cooldowns and sending limits, and the test link works for 7 days. The link opens only while the survey is Active, so activate the survey first, or use the designer’s live preview to check a draft.Send window
Open Email delivery in the designer and turn on Only send invitations during set hours. Choose a start and end hour (the end must be after the start) and, optionally, Weekdays only. The window uses your workspace time zone. An invitation requested or approved outside the window waits and is scheduled for the next quarter hour inside it. Delivery history shows it as scheduled until then.Reminders
In Email delivery, turn on Remind people who have not answered and choose:- Days before each reminder: 1 to 14 days.
- Reminders at most: 1, 2 or 3.
Personal links only
GainTrace has no public survey link, QR code or kiosk mode. Every answer comes through one of two personal entry points:
Opening a survey without a personal link shows “This survey only takes answers from a personal invitation. Ask the team that sent it for your link.” Nothing is recorded. Ask the team that sent the survey for a new invitation, or send one yourself.
Answers that arrived by a public link, QR code or kiosk before this change still appear in the response inbox and in reports, with their original channel, such as Public link, QR code or Kiosk. Those channels are historical values only: no new answer arrives through them.
Flows that send surveys
Use the Send Survey step in a Flow to send a survey when something happens, such as before a renewal or after onboarding. Flow survey sends wait for approval in Triage by default. An admin can choose to send them as the Flow runs; see Invitations from Flows. After you pick a survey in the step, a link opens it in Surveys in a new tab. A draft or closed survey shows Activate it in Surveys instead. To ask about one record, such as the deal that started the Flow, set Ask about in the step. See Link feedback to deals, tickets, plans and records. To survey on a rhythm, open the Email channel and choose Create recurring survey Flow. Pick Quarterly (the first day of January, April, July and October) or Monthly. GainTrace creates a draft Flow with this survey already selected, starting on the first day of the period at 9 AM in your workspace time zone. Open it with Review audience and activate Flow, set the Company audience, then activate it. Invitations still follow the cooldown, unsubscribe rules and email limits.Start a Flow from a response
A Flow can also start when a response arrives. In the Flow’s Event trigger, choose:- NPS response, with the NPS category (promoter 9-10, passive 7-8 or detractor 0-6) and optionally a survey, to follow up by category.
- Survey response, with a survey, a survey type or a sentiment (positive, neutral or negative), for one specific survey or for CSAT and CES.
